Conference interpreting is an unrecoverable diary commitment. Use these standardized contractual clauses in agency client service agreements and interpreter engagement contracts to protect your business against late cancellations and unauthorized audio rebroadcasting.
1. Standard Cancellation Indemnity Clause
Clause [X]. Cancellation by Client:
(a) In the event the Client cancels the scheduled interpreting assignment or any portion thereof within 48 hours of the agreed commencement time, the Client shall pay 100% of the total agreed professional remuneration plus all non-refundable travel, accommodation, and subsistence expenses incurred or committed.
(b) In the event the Client cancels the assignment within 7 calendar days (but more than 48 hours) prior to commencement, the Client shall pay 50% of the total agreed professional remuneration plus all non-refundable expenses.
(c) Cancellations made more than 7 calendar days prior to commencement shall incur no professional fee penalty, provided the Client reimburses all non-refundable expenses already committed.
2. Audio Recording & Intellectual Property Clause
Clause [Y]. Recording and Broadcast Rights:
(a) The interpretation provided is intended exclusively for direct live audition by participants present during the session. No audio or video recording, digital stream, or broadcast of the interpretation may be made without prior written agreement and payment of the applicable recording surcharge.
(b) The Client shall indemnify the Agency and assigned interpreters against any claims arising from the unauthorized recording, distribution, or commercial exploitation of the interpreted output.
3. Non-Compliant Booth & Acoustic Safety Clause
Clause [Z]. Working Conditions and ISO Compliance:
(a) The Client shall ensure that all interpreting booths comply with ISO 4043 (mobile booths) or ISO 2603 (permanent booths), providing adequate acoustic isolation, silent ventilation, and unobstructed line-of-sight to speakers and presentation screens.
(b) If on-site acoustic conditions pose an acute risk of acoustic shock or fail to meet baseline safety standards, interpreters reserve the contractual right to suspend services until compliant conditions are established, without forfeiture of fees.
